From Empty Space to Zero Downtime: Managed IT for a Miami Tax Practice
A tax practice in Miami’s airport west commercial district took over a completely empty commercial space with tax season approaching. No cabling, no network, no phones. What they needed was simple to say and hard to deliver: be fully operational fast, and never stop filing, even when the internet does.
Where it stands: The engagement ran until the owner closed the practice years later. Every tax season in between: zero filing downtime.
The challenge
- A blank canvas: zero existing cabling, network hardware, or phone system in the new space.
- High stakes seasonality: an ISP outage during peak filing deadlines means direct revenue loss and angry clients the same day.
- Security separation: payment terminals and client tax data could not share a network with public guest Wi-Fi.
What we built
Structured CAT6 cabling
Cable drops for 16 client facing workstations, installed clean and documented. The practice later grew to 28 workstations on the same backbone without disruption.
Network segmentation with VLANs
Managed switches separated three worlds that must never touch: corporate tax data, payment terminal traffic, and guest Wi-Fi.
Offline filing with automatic cloud sync
The tax software database ran on premises. When the ISP dropped, preparers kept filing locally without noticing; when connectivity returned, queued filings synced automatically to the cloud and on to the IRS.
Printing and phones
Centralized network printing on enterprise Xerox hardware and VoIP service across every desk.
The results
- No filing downtime through three consecutive tax seasons, including through routine ISP outages that would have idled the whole office under the old model.
- The office grew from 16 to 28 workstations the following year with no network rework and no disruption.
- A year round managed IT agreement with reduced off season rates kept costs matched to how a tax practice actually earns.
