Virtual CIO services
A technology strategy, not just technology support
Every business over a handful of people makes CIO decisions: what to buy, when to replace, how much to spend, what the insurance questionnaire demands. A virtual CIO gives you a senior engineer making those calls with you, for a fraction of what hiring one costs.
The decision nobody at your company owns
Small businesses have someone who fixes computers. Almost none have someone who decides what the technology should be. So the decisions happen by accident: the server gets replaced when it dies instead of when it should, software subscriptions pile up because nobody audits them, and the cyber insurance renewal arrives with requirements nobody planned for. Each accident costs more than planning would have.
A virtual CIO is the fix: an experienced technology leader who meets with you quarterly, keeps a living roadmap of your systems, and turns technology from a series of surprises into a line item you can predict. At KYTHEL that person is a senior engineer with 16+ years across public companies, startups, and small business, the same person who answers when you call.
What our vCIO service includes
- Annual technology roadmap. A written plan for the next 12 to 36 months: hardware refresh timing, budget forecast, and the decisions coming your way, each with a recommendation in plain English.
- Quarterly planning reviews. A standing meeting where we look at what changed, what broke, what the numbers say, and what to adjust. Strategy that actually gets revisited instead of a binder that gathers dust.
- Budget and license discipline. Subscription audits, license reconciliation, and honest answers about what to cancel. Most clients fund part of the service with what we cancel.
- Vendor decisions with an engineer in your corner. When the software vendor, ISP, or copier company pitches you, we evaluate it technically and negotiate from knowledge, not brochures.
- Compliance and insurance readiness. Cyber insurance questionnaires, HIPAA obligations, and client security requirements handled as planning items instead of annual emergencies.
- Growth and exit planning. Opening a second location, doubling headcount, or preparing the business for sale all have technology implications. We plan them before they become fires.
What it costs, with real numbers
A real CIO hire runs $200,000 or more a year, which is why small businesses simply go without. Standalone vCIO retainers from consultancies typically run $1,000 to $5,000 a month. We price it differently: vCIO work is built into our Complete managed IT plan at $129 per device per month, so a typical 10 person office gets the full IT department and the strategy layer for roughly $1,500 a month total. All our numbers are on the pricing page, published, because a strategy service that hides its own prices is telling you something.
Who this fits
Businesses of roughly 10 to 50 people where technology decisions carry real stakes: law firms with confidentiality obligations, medical and dental practices with HIPAA and EHR decisions, design firms with expensive workstations and software licensing, and nonprofits answering to boards and funders. If your technology spend passes $1,000 a month and nobody owns the strategy, this is the missing role.
